Project Description
LUNA is a theatre group bringing together women from all over the world, who have survived forced displacement and gender based violence. It is delivered by Feedback Theatre in partnership with MamaSuze and supported by the Old Diorama Arts Centre and the New Diorama Theatre. Our artistic process is based on co-creation and shared leadership to centre and elevate women’s voices, foster talent, realise potential and advocate for change through shared artistic endeavour.
The group has identified core feminist values that root and guide our work: love, sisterhood, inclusion, individuality, and diversity. We meet weekly to foster belonging, playfulness, creativity, and deepen connections with ourselves and others. Through this process we create original pieces of theatre on topics important to the group and performed to an audience of the group’s choosing.
Role Description
We are looking for a highly organised individual to support the project directors in delivering a new exciting phase of LUNA from March to December 2025. The Project Coordinator will be responsible for logistics of sessions, managing the budget and spending, and supporting the Project Directors in outreach and enrollment of participants, pastoral support and production tasks for performances. We are a small team working with vulnerable women so it is essential that you attend the workshops and get to know the participants to best support their engagement in the project. The LUNA project is a women only space where anyone identifying as a woman is welcome. For this role we are looking for a person who identifies as a woman or as a non-binary person.
Scope: 25 days including:
Fee: £5500 (25 days at £220 per day. March to December 2025 ) - Freelance contract

- 23 days on Tuesdays from March to December 2025 - 9am-5pm at Old Diorama Arts Centre in London
- 2 additional days for evaluation, supervision and reporting - flexible

DUTIES AND RESPONSIBILITIES
Manage on site logistics for Tuesday morning sessions including:
- Buy the refreshments needed for the workshops before the sessions. Record receipts and log it in the budget.
- Prepare any printouts/information forms needed for the sessions, trips or productions.
- Set up the room ready for the workshops according to the needs of the session. (Hot water for drinks, crockery tables, chairs etc).
- Support the childminders, making sure they have everything they need for the session.
- Support the Project Directors to maintain a flexible approach to facilitation and create a safe, expressive and participant-led atmosphere for the workshops by being present in the workshops.
- Ensure the room is clear after sessions.
- Ensure all the participants have signed a travel expense form by the end of the session and save records.
Other tasks:
- To attend planning meetings with the Project Directors, take notes and action relevant tasks.
- To communicate with venues regarding change of dates and requirements for the sessions.
- Keep the budget up to date by logging all expenditures and receipts.
- Buy materials needed for sessions.
- Enroll participants into the project and ensure information on participants is complete and accurate; ensuring records are erased once participants have left.
- Keep attendance records.
- Support Project Directors with referral from other organisations, including reaching out and building relationships with potential referral partners.
- Correspond with participants to pass on relevant information regarding sessions and performances.
- Prepare relevant consent forms for participants and ensure they are signed and up to date.
- Support logistics of Advisory Board meetings.
- Attend psychological supervision sessions once every 2 months (online).
- Comply with Feedback Theatre’s Code of Conduct and Safeguarding Policy at all times.
PERSON SPECIFICATION
Essential:
- Experience of coordinating community based activities, including admin, logistics and managing project budgets
- Experience of working with refugees, migrants and/or vulnerable groups in a professional or voluntary capacity
- Experience working with Google Docs/Drive
- An open, friendly and helpful approach to work
- Excellent people and communication skills
- Proven ability to work with people from different backgrounds and abilities
- Good attention to detail and a proactive, responsive attitude
- Must hold a valid Enhanced DBS disclosure within the last 2 years or be on the DBS update service
- Commitment to and enthusiasm for arts for social change
- Experience/knowledge of theatre production
- Experience working as part of a safeguarding team
- An understanding of the issues surrounding refugees, asylum seekers and survivors of trafficking
- Ability to think on your feet and improvise solutions to issues in the moment
- Lived experience of forced migration
